Role: Part-Time Administrator

Salary: £17K pro rata

Location: Sheffield

Hours: 20 hours per week (4 hours per day over 5 days)

The Subject Access Request Administrator is responsible for the day to day servicing of SAR’s for our clients.

Through administrative processing, proactive updates and query handling you will ensure contractual KPI’s are hit and a quality customer experience is delivered.

Duties and Responsibilities:

Service Delivery

As part of the role you will cover a wide aspect of administrate duties. These will include:

Logging of cases on to the case management system.
Correctly log all activities and notes at all times.
Proactively manage outside of KPI cases ensuring the next case steps are fast tracked.
Manage customer enquiries ensuring queries are answered professionally in line with the customer charter, this will include managing complaints in line with the complaint handling process.
You will liaise with clients and their employees, this can also include contacting internally and externally to gather further information where required.
You will be required to proactively prioritise your workload.
General Administration tasks, answering telephone, email and written correspondence, filing, photocopying, incoming and outgoing post, scanning of documents.

Meeting clinical governance standards by adhering to principles of confidentiality, access to medical records and preventing data breech.
Control and maintenance of the medical records system and compliance with the Data Protection Act at all times.
Fulfil all the requirements of SEQOHS, brand standards and health & safety.
Ensure compliance with the requirements of Access to Health Records Act 1990 and Access to Medical Records Act 1988.
Maintain confidentiality and have a full understanding of the importance of client confidentiality & the significance of a data breech.

Undergo relevant training and development programmes.
Actively contribute to team meetings and briefs.
Produce monthly team briefs and update reports.
Identify service and productivity improvements.
Experience, skills and knowledge required for the role:

Good IT / PC skills including Microsoft packages.
Key Performance Indicators:

Client KPI targets cases:
Logged on: within 24hrs
All SAR’s are dealt with, within 1 calendar month.
Dealing with MIC’s within 3 working days.
Completing legal’s within 10 working days.
Minimum Standards of the Balanced Scorecard
It is required as part of the role to have a knowledge of the Data Protection act 2018. Along with GDPR guidelines.
