The position is ideally suited to a committed professional with extensive experience in a similar role, supporting the CEO and CFO with their business activities, as well as providing occasional support to other Executive Directors as required.

The position is ideally suited to a committed professional with extensive experience in a similar role, supporting the CEO and CFO with their business activities, as well as providing occasional support to other Executive Directors as required.

This is a high-profile role that works closely with the Chairman’s PA and other Non-Executive Directors, especially with diary management and co-ordination and production of Board meeting materials. This role will require absolute integrity, trust and discretion at all times.

The successful candidate must have outstanding interpersonal skills and be used to working with a variety of stakeholders in a strategic environment, being fully responsible for proactively managing most aspects of the CEO & CFO administrative activity.
Key Duties & Responsibilities include:

• Providing a high quality secretarial and organisational support service to CEO, CFO, Executive Management Team, and the Board
• Professional line management of the other business support PA
• Effective management of diaries, assessing priority of appointments and reallocation as necessary
• Management and coordination of events including high profile Board meetings and offsite workshops and functions and all associated catering arrangements
• Booking and coordinating all travel and accommodation (UK, EU and Global), which at times can be complex. Ensuring detailed itineraries are provided and pre-thought to enable seamless movement and activity
• Presentation coordination, proofing and adapting, including investor presentations
• Co-ordinating projects in a timely and accurate manner as directed by the CEO and CFO
• Providing support for an extensive range of meetings both internally and externally. This will include preparing agendas, pre-meeting briefings and meeting papers, noting action points and proactive follow through
• Receiving and dealing with telephone calls professionally, re-directing or taking messages and using initiative to deal with queries
• Sorting, distributing and responding or drafting responses to incoming mail in a timely and efficient manner

The position requires a sense of pride and ownership in all aspect of the work. It is required that all responsibilities be performed consistently with attentiveness and proficiency, offering a sense of urgency for priority issues and strong customer focus throughout. As a highly visible and trusted role, the position requires an ethical and professional demeanour, handling all responsibilities with appropriate confidentiality, tact and diplomacy and acting as an ambassador for the company brand to visitors and employees alike.

It is imperative that the job holder is flexible and adaptable to meet the ever-changing needs of the Company, sometimes taking on tasks that appear to be unconventional. Furthermore, the job holder should be capable of working on day-to-day tasks with minimal supervision.

Background Experience and Required Qualifications:

• The role requires significant previous experience of providing a key support role at exec level or senior level, including previous experience of dealing with confidential and sensitive matters is paramount.
• Resilience, perseverance, flexibility and responsiveness to change are important key attributes
• Strong verbal and written communication skills with high-level attention to detail and excellent interpersonal skills in the ability to build and maintain effective working relationships
• A business administration qualification is desirable
• Exceptional written and oral communication skills
• Excellent IT skills (MS Office specifically), including adaptability to learn other software packages
• The ability to work under pressure and to tight deadlines
• Good organisational and time management skills to juggle a variety of conflicting priorities from time to time
• The ability to research, analyse and present material clearly and concisely
• The ability to work on own initiative
