Sue Ross Recruitment currently have a fantastic opportunity working with a successful charitable arts organisation based in Wakefield. They seek a dynamic, professional Executive Office Assistant to join their central support team on a full time, permanent basis.

Sue Ross Recruitment currently have a fantastic opportunity working with a successful charitable arts organisation based in Wakefield. They seek a dynamic, professional Executive Office Assistant to join their central support team on a full time, permanent basis.

Duties and responsibilities include;

• To provide secretarial and administrative support to the Executive team and HR department
• Assisting with the management of the Executive Director’s diary, arranging all aspects of meetings, both internal and external, and organising travel and accommodation with detailed itineraries, nationally and internationally.
• Dealing with incoming and outgoing correspondence and communications and assisting with communication with Trustees, stakeholders and VIP’s.
• Assisting with the Trustee Board papers including printing and photocopying the packs ensuring they are mailed within a timely manner
• provide support to the Executive team, including:
o Co-ordinating diaries for internal and external meetings.
o Providing a central point of contact for the Executive team
o receiving and distributing internal and external messages and correspondence.
o Assisting with day-to-day administration, travel and diary arrangements.
• Distributing incoming post throughout the organisation.
• Monitoring and distributing emails through the generic YSP email address
• Assisting the Executive Coordinator in the delivery of support services throughout the organisation, e.g. computer services, postal systems and other general functions.
• Providing administrative support for the HR Officer

The ideal candidate will have the following attributes;

• Excellent administration and secretarial skills
• The ability to deal with confidential matters
• Exceptional planning and organisational skills
• Ability to work in a demanding and busy role and to manage workload
• A flexible approach to responding to changing priorities and deadlines
